Your company details for invoices

Which details go on the invoices to your members: name, KvK, VAT or KOR, payment term and pausing after arrears.

When a member pays online, they get an invoice from your business. Your company details need to be on it. As long as they’re missing, your members can’t pay online.

Where. Under Account & profile → Payouts and invoices. Only the owner sets this up.

What you fill in.

  • The company name as registered with the KvK (Dutch Chamber of Commerce), and the address
  • Your KvK number (eight digits)
  • Your VAT number, such as NL123456789B01, or a tick for the small business scheme (KOR): then there’s no VAT on your invoices
  • Optionally your IBAN and an email address for questions about invoices
  • A text at the bottom of the invoice, such as Thanks for training with us!

Payment term. How many days a member has to pay an invoice.

Pausing access after arrears. After how many days of payment arrears a member’s access is paused, between 1 and 90 days. The default is fourteen. See When a member doesn’t pay.

Which VAT rate. You choose that per subscription and per product. For a gym subscription it’s usually 9%, for coaching and products 21%. If in doubt, ask your accountant.

An example. View sample invoice shows you what an invoice looks like before a member gets one.

Changing them. New invoices use the new details. An invoice that has already been created no longer changes.
