Terms of use
The agreements between you and xBase360. Short where possible, precise where necessary. This is a translation for your convenience; the Dutch version is legally binding.
Who we are
xBase360 (sole proprietorship) provides the xBase360 platform and is responsible for the processing of your data as described below.
- Postal address: Gravin Juliana van Stolberglaan 31, 2263 AB Leidschendam, Netherlands (not a visiting address)

1. What this is about
These terms apply to the use of the xBase360 app, the website and the dashboards for coaches and gyms. By creating an account you agree to them. If you use the platform on behalf of a gym, the agreements in your subscription also apply.
2. Your account
- Your account is yours. Don’t share your sign-in details.
- The information you enter should be correct — your progress doesn’t benefit if it isn’t.
- You must be sixteen or older, or have permission from your parent or guardian.
- You can delete your account yourself at any time, in the app under Profile. This is permanent.
3. What we provide
We do our best to keep the service available, but we don’t promise uninterrupted availability. We announce maintenance when it’s planned. Features may change; if something essential disappears from a paid plan, we’ll let you know in advance.
4. What the app is not
xBase360 is not a medical device and does not give medical advice. Training plans, meal plans, recipes and cycle insights are general information and guidance, not a diagnosis and not a treatment. If you have doubts about your health, are pregnant, are recovering from an injury or take medication — consult a doctor first. If you experience symptoms while exercising: stop and seek help.
The nutritional values in the app come from our own database and from public sources. We do our best to get them right; they remain an approximation.
5. AI features
Part of the app uses artificial intelligence: drawing up plans, coming up with recipes, reading photos of labels, whiteboards and machine screens, and the customer service assistant. Where that’s the case, it says so.
- What comes out is a suggestion. You or your coach check it before anything is saved or carried out.
- AI misreads things. A scanned screen or a handwritten plan may miss a number; that’s why you can go through and adjust everything.
- There is a monthly credit on usage. What that credit is can be found on the pricing page.
- Your data is not used to train AI models.
6. What you may not do
- Break in, scrape, or direct automated traffic at the service.
- Try to access other people’s data.
- Use the service for anything that is prohibited, or to harass others.
- Post content that is offensive, misleading or not yours.
If that happens anyway, we may block an account. In serious cases, we do so without prior warning.
7. Payment, renewal and cancellation
- Prices are shown on the pricing page. All amounts include VAT. On members’ payments that go to a business via Stripe, xBase360 deducts a platform fee (a percentage plus a fixed amount per payment); with it, xBase360 pays Stripe’s fees. The rate is shown on the pricing page and in the dashboard. A change only applies to new payments and subscriptions.
- The trial period. A business can try it free for fourteen days, without payment details, even if it chooses a plan when signing up. At the end of the trial the business chooses a plan and pays with Stripe; it gets an email about this three days before the end. If it doesn’t choose anything, the trial ends automatically and it pays nothing. If it already pays during the trial, the first payment only follows once the fourteen days are over; if it cancels before then, it pays nothing.
- Our price promise. What’s in your plan is included; extras are listed separately and openly on the pricing page. We announce a price change at least three months in advance, and anyone who doesn’t agree can cancel free of charge with effect from the date of the change. You can always export your data free of charge.
- A subscription continues until you cancel. A monthly subscription is cancelled per period; an annual subscription runs until the end of the year and then renews on a monthly basis, cancellable monthly.
- You can cancel yourself. In the app under Subscription, or in the dashboard under Account → Subscription. A subscription that runs through the App Store or Google Play is cancelled there — those stores require it, and we’ll point you to them.
- If you cancel, you keep access until the end of the paid period. We don’t refund remaining days, unless the law requires it.
- If you don’t pay, we may suspend the service. Your data remains as long as your account exists.
If you buy a digital service at a distance as a consumer, you have a fourteen-day cooling-off period. If you ask us to provide the service immediately and you use it, that right lapses — and that’s exactly what happens as soon as you start.
8. Who owns what
The platform and everything around it belong to us. What you enter remains yours; you only give us the right to process it in order to provide the service. If you share a run or a photo with the community, you give us the right to show it within the platform — for as long as you keep it shared.
9. Liability
We are not liable for damage resulting from the use of the service, except in the case of intent or gross negligence on our part. For paying customers, our liability is limited to the amount paid in the preceding twelve months. Mandatory rights you have as a consumer remain unaffected.
10. Changes
We may amend these terms. If it concerns something essential, we’ll let you know at least thirty days in advance in the app or by email. If you don’t agree, you may cancel with effect from the date on which the change takes effect.
11. Applicable law
These terms are governed by Dutch law. Disputes will be submitted to the competent court in the Netherlands. If you are a consumer, you may also go to the court of your own place of residence.
