"Bring a friend" is cheap marketing. With a guest, a member can bring someone to a group class, without that person needing an account.
Turning it on. Go to Calendar → Settings and turn on Members may bring a guest. Choose how often per month a member may bring someone (1 to 10, default 2). It starts off.
How the member does it. The member books the class first. That class then shows Bring a guest. The member only enters the first name and confirms the guest agrees to that. We ask nothing more: the member does not pass on someone else's email address or phone number.
Spots and waitlist.
- The guest takes one spot. If there is room, the guest is booked straight away. If the class is full, the guest goes on the waitlist, always behind their own member.
- A guest only moves up from the waitlist if the member has a spot.
- If the member cancels (themselves, via the front desk, or because the class moves), the guest goes too. The member can also cancel just the guest.
- If the waitlist is off and the class is full, no guest can be added.
Credit. A guest is free: the member only pays for their own spot. The monthly limit keeps it in check.
The limit. Per member and per calendar month of the class. A guest who was cancelled, or at a class that did not go ahead, does not count. A spot on the waitlist counts while the class is still to come.
At the class. Open the class in the Calendar. The guest is on the attendee list, right after the member, with guest of and the member's name. You mark present or no-show as for anyone. A no-show by a guest does not count towards the member's no-show rule.
Does the guest want to know more? Click Wants contact next to the guest (with the Timetable permission). Enter an email address or phone number the guest gives themselves, and tick that the guest gave permission. The guest then appears under Clients → Sign-ups, with Guest as the source. Without that permission there is no sign-up: the member's agreement is not enough for that. If there is already an open sign-up with exactly the same name and the same email address or phone number, the permission is added to that one; a different name is a new sign-up. Your colleagues get a notification (and an email if they turned that on); you don't, because you recorded it.
Retention. A sign-up without contact is removed after 12 months, like any sign-up from the website. A guest's first name is removed from the class after 12 months; the spot itself stays in your figures.
What the guest doesn't get. No reminder, no points and no messages: the guest has no account. The member hears when the guest gets a spot from the waitlist, or when you cancel the guest.
