Connecting your Google Calendar

Busy time in your Google Calendar counts towards your free times, so nobody double-books you. What we read, what counts and how to disconnect.

Do you also work outside xBase360, with appointments in your Google Calendar? Connect that calendar. When you’re busy there, nobody can book you at that time. That way you won’t be double-booked.

What we read. Only whether you’re busy or free, with a start and an end. No titles, no names, no description. That’s all we ask Google for.

Connecting. Go to Settings → Account and profile and choose the Calendar tab. Choose Connect Google Calendar. Google asks whether you allow us to see when you’re busy. Choose Allow. You come back to the dashboard and see Connected on with the date.

What counts.

  • Only your main Google calendar. Other calendars don’t.
  • Your calendar subscription from us (on the same tab) is a separate calendar in Google. So it doesn’t count: your appointments aren’t counted twice.
  • If one of our appointments is in your main calendar anyway, for example because Gmail put the invitation from the confirmation email there, we recognise it. It doesn’t take up a slot a second time.
  • Is an appointment cancelled, handed over to a colleague or moved, and is it still in your Google Calendar? Then remove it there yourself. As long as it’s there, that time counts as busy. (When you move an appointment you get the new time by email; the old time sometimes stays.)
  • We check every ten minutes, for the next 60 days.

What others see. Clients only see that you’re not available at that time: the time isn’t among the free times. Your colleagues and the owner only see Busy in Google Calendar in the schedule, never what’s in your calendar.

Scheduling anyway yourself. If you schedule an appointment for a client yourself at a time that’s busy in Google, that time is shown separately, with a dashed line. If you choose it, we ask whether you really want to; the button then says Schedule anyway. You can’t do that in a colleague’s calendar: that’s up to them.

Connection no longer working? If you removed the access in Google, or it expired, you’ll see The connection no longer works and get a notification. Choose Connect again. Until then, the busy times we already knew still count.

Disconnecting. Choose Disconnect. We revoke our access at Google straight away and erase what we knew. You can also remove the access yourself in your Google account, under Security → Your connections to third-party apps & services. If you delete your account with us, the connection goes with it.
