Importing members or scanning a form

Switching over with a member file, or turning a pile of paper sign-up forms into invitations.

Coming from another system, or have a pile of sign-up forms from an open day? Then you don’t need to invite everyone by hand.

Importing a member file. Under Member management → Import members (CSV). Export your members from your old system; a name and email address per line is enough:

naam;email
Piet Jansen;piet@voorbeeld.nl
Anna de Vries;anna@voorbeeld.nl

Everyone in the file becomes a member of your business and is linked to you, and gets an invitation by email. Anyone already in is skipped. So running the same file again does no harm. There’s a maximum per run; if your file is bigger, split it up. If the mailer has sent enough for a moment, wait a few minutes and carry on where you were.

Scanning a form. Under Client records → Scan / import. Photograph a sign-up sheet or a registration form, straight from above, with the email addresses clearly legible. The scan only reads names and email addresses, and nothing else: no address, no date of birth, no account number and nothing from a health declaration. The photo isn’t stored anywhere and no account is created; everyone gets an invitation and fills in their own details.

Check the addresses. A wrong address sends an invitation with your business’s name to a stranger. Lines where the name or address wasn’t certain enough, the scan leaves for you. You type those in yourself.
